Position Summary

  • A hybrid role, with ability to work from home but also from our offices in Ghent, the Administrative Assistant to the European Team will ensure the smooth and efficient operation of our European entities, including working across departments, coordinating with our global teams and supporting executives in Belgium, the Netherlands and the UK. The role requires discretion, initiative, and the ability to respond quickly and efficiently to ambiguity. There may be a requirement for travel to other European offices (Delft, Guildford) when key guests or events take place.  

Key Responsibilities:

  • Scheduling in-person, Zoom and Team meetings with calendar management across time zones.
  • For in person meetings and events, include room set up, site tours and provide refreshments and travel coordination.
  • Superior organization, coordination, and facilitation skills and strong planning capabilities to support the European Leadership team, while coping with last minute changes.  
  • Coordinate and execute travel arrangements and expense reports for Executives in European offices.
  • Prepare correspondence, maintain electronic and paper filing systems and create, maintain and update presentations, documents and sensitive reports
  • Coordinate attendance at events/conferences for executives in Europe and liaise with organizers on logistics including coordination of booth or exhibition materials and set up for trade shows and conferences.  
  • Minute taking at meetings
  • Coordinate with HQ Office Admin to provide events, engagement opportunities, and company “swag” for the Europe team and office.
  • Perform additional office duties and team support as assigned.

Minimum Requirements:

  • Bachelor’s degree + minimum of 5 years’ experience as an Administrative, Executive, or Office Assistant; experience is considered in lieu of education in a motivated and skilled candidate.
  • Competency in Microsoft office product suite, including Outlook, Word, Excel, PowerPoint, and SharePoint
  • Versed in electronic tools for global communication, using the web, handheld devices, and different video conferencing formats.
  • Proven ability to work with international executives and manage communications and meetings across multiple time zones.
  • Ability to work under time constraints and be available as needed
  • Well-developed analytical and problem-solving skills.
  • Strong ability to multi-task and work in a fast-paced environment.
  • Independent thinker.
  • Excellent verbal and written communication skills.
  • Clearly and concisely presents ideas.
  • Strong sense of teamwork.
  • Positive attitude and ability to make things happen.
